Keeping a record a buyer will trust, without leaving the field

Six steps, start to finish. Nothing here needs a computer person — if you can fill out a scale ticket, you can keep a MilletLedger lot current.

1. Get your account turned on

Sign up with your email, then an administrator approves you and links you to your farm. Until that happens you'll see an "awaiting approval" screen — that's normal.

2. Add your farm and fields

Enter the farm legal name, mailing address, county, and — if you have them — your FSA farm and tract numbers plus your organic certificate number and expiry. Then add each field as a plot with its acres, soil type, and water source.

3. Name the lot before you plant

A lot code looks like KS-SORG-001-26: state, grain, sequence number, crop year. You type it once and confirm it. After that it can never be changed — that permanence is what makes the record worth something to a buyer.

4. Log work as it happens

Each entry — seed lot, field prep, planting, spraying, irrigation, scouting, harvest, drying, storage, cleaning, packaging, transport — is a form with only the boxes that step needs. Fill it standing in the field on your phone. Pounds, bushels, acres, and °F, the way you already talk about it.

5. Attach the paperwork

Upload your organic certificate, seed tags, lab reports, scale tickets, and bills of lading. Files stay private unless you tick "show on trace page". Certificates with an expiry date show up on the Command Center before they lapse.

6. Hand over the lot

Print the QR code for the bag or tote. A buyer or shopper scans it and sees the lot's story with none of your contact details. For an audit, open the lot report and save it as a PDF.

Questions growers ask

Do I have to weigh in kilograms?: No. Type pounds or bushels. The system stores metric behind the scenes and always shows you US units.
Can I fix a typo in a lot code?: No — the code is locked once saved. Delete the lot and create it again with the right code before you log much against it.
Who can see my records?: You see your own farms and lots. Agronomists, labs, and administrators you work with see them too. Buyers only see what you publish on a lot's trace page.
What if I miss an event?: Add it later and set the real date. The ledger sorts by the date the work happened, not when you typed it.
What does FSMA 204 need from me?: Harvest, conditioning, packing, any cleaning or milling, and shipping — each with dates, quantity, and where it went. The FSMA 204 screen flags anything still blank.
